Capture WhatsApp Campaign Source in CRM from WordPress

To capture WhatsApp campaign source in CRM from WordPress, you need two records: a website button click with its campaign data, and an identifiable WhatsApp message whose source can be saved against a contact. A click alone cannot tell you which person became a lead.

Keep website clicks and identifiable leads separate

The website records campaign data when the visitor presses the WhatsApp button. The contact record comes later, after a message arrives and its sender can be identified. A qualified lead is a further status assigned after assessing the enquiry.

The click happens on your site, not inside WhatsApp

When someone follows a campaign link to your WordPress page, its URL can carry utm_source, utm_medium, and utm_campaign. A click tracker can record those values when the visitor presses your WhatsApp button. That record describes an attempt to open a chat, not a sent enquiry.

Your CRM record comes later, when a message arrives and your team or connected inbox identifies the sender. A qualified lead is later still: it is a status you assign after assessing the enquiry. Keeping these stages separate prevents click counts from becoming invented lead counts.

An ad that opens WhatsApp directly never reaches your WordPress button. It needs a separate ad-to-conversation attribution workflow.

What per-click data looks like in practice

A useful click row contains the page, time, campaign source, medium, campaign name, and referrer. For example, a visitor might reach a tagged landing page from an email, then press its WhatsApp button. The row helps you identify the campaign that prompted that button click.

  • Website record: tagged page → WhatsApp button click → campaign data in the click log.
  • Lead record: received source label → identified sender → source saved in the CRM contact field.

A click row does not prove that the visitor sent a message. To carry source into the conversation, you must separately set up something your team can recognize, such as campaign-specific pre-filled text. The sender can edit that text or leave without sending it.

How to set it up in WordPress: capture WhatsApp campaign source in CRM

Tag the campaign link. Add campaign parameters to the link to your WordPress landing page, then track the WhatsApp button on that page.

Plan the CRM source field. Decide which contact field will hold the source. If you use distinct pre-filled text for each campaign, arrange for staff or your inbox workflow to copy its label into that field only when the message actually arrives.

Test the full journey. Open the tagged link, press the button, check the WordPress click log, send the test message, and inspect the resulting CRM contact. Confirm the right label reached the intended field. For button setup, see how to track WhatsApp button clicks without code.

Free vs PRO: what each version tracks

WhatsLink Free records click time, page, utm_source, utm_medium, utm_campaign, and referrer. You do not need PRO just to capture those campaign parameters in a website click log.

PRO adds reporting and filtering, CSV export, and email notifications. It can also send clicks as conversions to Google Ads, the Meta Pixel, and GA4.

  • Reporting and filtering — examine website click activity.
  • Ad and analytics conversions — send clicks to Google Ads, the Meta Pixel, and GA4.
  • CSV export — export click rows.
  • Email notifications — notify your team of clicks.

A CSV export contains click rows; neither version automatically identifies a WhatsApp sender or syncs that sender’s source to your CRM. Choose a click-tracking version for the click data you need, not for a CRM connection it does not provide.

The one thing you still can’t track

A website click tracker cannot confirm that a particular click became a particular CRM contact. If you need a closer match, a separately implemented reference could join a stored click to an incoming message. That workflow must be tested end to end; WhatsLink does not append such a reference automatically.

Leave the CRM source as unknown when the visitor arrived without campaign tags, removed the pre-filled label, or cannot be matched reliably. Do not assign a campaign merely because a message arrived near a recorded click. Keep names, phone numbers, and other personal identifiers out of UTM values. A pre-filled message is a draft until the visitor sends it. Treat an abandoned chat or edited-away source label as unconfirmed attribution.

For campaign-level measurement rather than contact attribution, read the WhatsApp marketing analytics guide. To decide what website click evidence means, see the WhatsApp chat link analysis guide. The CRM source is useful only when your team can explain how it was linked to the received enquiry.
